This Privacy Policy describes how LineKeeper by Aurcas (“LineKeeper,” “we,” “us,” or “our”) collects, uses, discloses, and retains personal information through:
- our website at linekeeper.site and related online pages (the “Site”);
- the public LineKeeper AI receptionist demonstration available through the Site (the “Public Demo”); and
- AI receptionist and call-handling services that we may configure and provide for subscribing HVAC or other service businesses (the “Client Services”).
Together, the Site, Public Demo, and Client Services are the “Services.”

Please read this Privacy Policy carefully before using the Services. Where we provide a consent notice, checkbox, verbal recording notice, or similar choice, your decision to proceed indicates your consent to the processing described in that notice and this Privacy Policy. If you do not agree, do not use the Public Demo or provide personal information through the Services.
1. Public Demo Users, Prospective Clients, Clients, and Callers
LineKeeper processes information in different roles depending on how the Services are used.
Public Demo Users
When you test the Public Demo on linekeeper.site, you interact directly with LineKeeper. LineKeeper determines the purpose of that demo and is responsible for the personal information collected during that interaction.
The Public Demo is intended only for demonstration and evaluation. Please use pretend HVAC scenarios and do not provide a real name, phone number, home address, payment-card information, sensitive information, or an actual emergency.
Prospective Clients and Website Visitors
If you contact us, request information, book a fit call, or interact with our marketing pages, LineKeeper collects and uses your information to respond to your request, evaluate whether our Services fit your business, and communicate with you about LineKeeper.
Clients
A business that contracts with LineKeeper for an AI receptionist or call-handling deployment is a “Client.” We collect information about a Client and its authorized users in order to configure, provide, support, bill for, and improve the contracted service.
Callers to a Client Deployment
If you call an HVAC or other business that uses a LineKeeper-configured AI receptionist, that business is responsible for its customer relationship and determines why it uses the AI receptionist and what information it requests from callers. LineKeeper processes caller information to provide the configured service on the Client’s behalf, subject to the Client agreement and applicable law.
Callers with questions about a call placed to a Client’s business should ordinarily contact that business first. A caller may also contact us at contact@aurcas.com, and we will assist or route the request as appropriate.
2. Personal Information We May Collect
“Personal information” means information that identifies, relates to, describes, or could reasonably be linked to an individual or device. Depending on how you interact with LineKeeper, we may collect the following categories.
A. Information You Provide Through the Site or to Our Team
- name;
- business name and job title;
- email address and telephone number;
- information provided when requesting a demonstration, booking a meeting, or contacting us;
- business requirements, call-flow needs, service areas, operating hours, FAQs, escalation rules, or deployment preferences;
- communications, feedback, and support requests.
B. Public Demo Audio, Transcript, and Call Data
If you launch and consent to the Public Demo, we may process:
- microphone audio and voice content supplied during the demo;
- a recording of the interaction, where recording is enabled;
- a transcript of the conversation;
- call or session metadata, such as start time, end time, duration, status, and technical identifiers;
- generated call summaries, extracted demo outcomes, or evaluation data.
The Public Demo may be powered by Vapi and its configured speech-to-text, language-model, voice, and infrastructure providers. Those providers may process content necessary to operate the demo.
C. Client Deployment Caller Information
In a live deployment configured for a Client, the AI receptionist may collect caller-provided information authorized by the Client’s workflow, such as:
- name and callback telephone number;
- service address or general service location;
- requested service, such as no cooling, no heat, maintenance, or estimate interest;
- issue description and urgency information;
- preferred appointment or follow-up time;
- home warranty or service-plan details supplied by the caller;
- communications, call recordings, transcripts, summaries, call outcomes, and routing or notification details;
- any other information the caller voluntarily states during a call.
Important: LineKeeper is not intended to collect payment-card information through the Public Demo. Clients must not configure a deployment to collect payment-card information or other specially regulated data through LineKeeper unless a separate approved workflow, appropriate safeguards, and applicable legal requirements are in place.
D. Business Configuration and Knowledge Information
To configure a Client’s receptionist, we may collect or use information provided by the Client or available from public business sources, such as:
- company name, website, publicly available Google Business Profile or other business listings;
- services, coverage area, business hours, contact information, approved FAQs, call-routing preferences, and escalation instructions;
- business documents or knowledge content deliberately supplied for configuration;
- integration information needed for an approved workflow.
A Client is responsible for ensuring it is permitted to provide us with any information it supplies for configuration.
E. Device, Website, and Technical Information
When you use the Site or Services, service providers may process technical information required to provide and secure the service, such as:
- IP address, browser type, device type, operating system, network information, pages requested, dates and times of access, and error/security logs;
- call connection metadata and technical delivery logs;
- cookie or similar technology information where used and disclosed.
We do not state that we use marketing analytics or targeted advertising cookies unless and until those tools are enabled and disclosed on the Site.
3. Recording, Transcription, and AI Processing
Public Demo Recording and Transcription
Before a user can launch the Public Demo, we present a notice stating that the interaction may be recorded and transcribed for evaluation and improvement purposes. The user must choose to continue after receiving that notice. The demo should also provide an AI/recording notice at the start of the interaction where configured.
If you do not want your Public Demo interaction recorded or transcribed, do not proceed with the demo.
Live Client Deployment Recording and Transcription
Where enabled in a Client deployment, calls may be recorded and transcribed in order to provide the service, create a usable call record, enable follow-up, troubleshoot service quality, and review or improve the approved call flow.
Each Client is responsible for approving its call flow and providing any notices and obtaining any consent required for its callers under applicable recording, privacy, communications, and consumer-protection laws. LineKeeper may provide suggested disclosure language, but the Client remains responsible for ensuring that its use is lawful for its circumstances and jurisdictions.
Artificial Intelligence
The Services use artificial intelligence and related voice technologies to understand caller statements, generate responses, and, where configured, summarize or structure call information. AI systems may misunderstand a caller or produce inaccurate, incomplete, or inappropriate output.
LineKeeper is not an emergency service, HVAC diagnostic service, warranty authorization provider, or substitute for a qualified human professional. For fires, suspected gas leaks, carbon-monoxide alarms, medical emergencies, or immediate danger, callers should contact emergency services or the appropriate emergency utility provider.
Voice Information
Audio recordings and transcripts may be personal information and may be treated as sensitive information in certain jurisdictions. LineKeeper uses voice content to operate and review the AI receptionist experience. LineKeeper does not use Public Demo voice audio to create a voiceprint for identifying an individual unless we first provide a separate disclosure and obtain any legally required consent.
4. How We Use Personal Information
We may use personal information to:
- operate, provide, configure, support, and improve the Services;
- run the Public Demo and respond to user interactions;
- evaluate demonstration quality and identify call-flow improvements;
- respond to requests, book meetings, provide sales information, and communicate with prospective Clients;
- configure Client call flows using approved business information and instructions;
- create call recordings, transcripts, summaries, structured call records, notifications, routing actions, or follow-up records where enabled;
- provide client support, troubleshoot errors, monitor performance, and secure the Services;
- maintain records of notices, consent choices, opt-outs, support requests, or privacy requests;
- comply with applicable law, respond to valid legal requests, resolve disputes, and enforce our agreements;
- prevent misuse, fraud, security incidents, or prohibited activity;
- support a merger, acquisition, financing, reorganization, or transfer of all or part of our business, subject to appropriate protections.
We will not use personal information for a materially different purpose without providing notice and obtaining consent where required by law.
5. How We Disclose Personal Information
We may disclose personal information as reasonably necessary for the uses described above.
A. Clients
For a live Client deployment, caller information and call records generated for that Client may be made available to that Client and its authorized personnel according to the configured workflow and Client agreement.
B. Service Providers and Technology Vendors
We may use service providers to operate the Services, including:
- Vapi for voice AI call handling and, depending on configuration, recordings, transcripts, call logs, structured outputs, and associated call processing;
- speech-to-text, AI model, and text-to-speech providers configured through or used with the voice AI workflow;
- Amazon Web Services (AWS) for website hosting or related infrastructure used by LineKeeper;
- Hostinger for domain or related website services;
- Calendly when you choose to book a meeting through the Site;
- communications, email, monitoring, security, or professional service providers that we later use to support the Services.
Each provider processes information according to its role, applicable agreement, and its own privacy practices where it acts independently.
C. Legal, Safety, and Business Transfers
We may disclose information:
- to comply with law, legal process, court order, or valid government request;
- where necessary to protect rights, safety, property, or the security of the Services;
- in connection with a proposed or completed merger, acquisition, financing, sale of assets, or business reorganization;
- with your consent or at your direction.
D. Selling or Sharing Personal Information
LineKeeper does not sell personal information for money. LineKeeper does not share personal information for cross-context behavioural advertising as of the Last Updated date of this Policy.
If our practices change, we will update this Privacy Policy and provide any legally required choices before applying those changes.
E. Aggregated or Deidentified Information
We may use information that has been aggregated or deidentified so it no longer reasonably identifies an individual for analytics, service evaluation, product improvement, security, and business purposes. We will not attempt to reidentify deidentified information except where permitted or required by law.
6. Vapi and Call-Artifact Storage
LineKeeper currently uses Vapi technology for the Public Demo and may use it for Client deployments.
According to Vapi’s published documentation and privacy policy:
- in Vapi’s default data flow, Vapi stores call recordings, full transcripts, call logs, and structured outputs on Vapi infrastructure;
- call-recording retention is configurable;
- Vapi states that retention periods for call recordings, transcripts, and logs depend on the customer’s configuration and that data is deleted on request;
- if HIPAA mode is enabled without custom storage, Vapi states that recordings and transcripts are not stored on Vapi after the call;
- custom storage options may be used for certain call artifacts in a controlled storage environment.
LineKeeper’s retention commitments below are our retention rules for the Services. To meet these commitments, we must configure and operate deletion or storage controls for Vapi and any other system in which we retain relevant data.
7. Retention of Personal Information
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide the Services, to comply with applicable law, to resolve disputes, and to enforce agreements.
A. Public Demo Audio, Recordings, Transcripts, and Related Call Artifacts
Retention period: 30 days after the Public Demo interaction.
Public Demo audio recordings, transcripts, call logs, summaries, and structured outputs retained by or for LineKeeper will be deleted within 30 days after the interaction, unless:
- you request deletion earlier and we are able and legally permitted to fulfil the request;
- the information has been deidentified or aggregated so it no longer reasonably identifies you;
- a longer period is reasonably necessary to investigate security misuse, fraud, abuse, an operational incident, a dispute, or to comply with law.
The Public Demo is not intended for real personal information. Please use pretend information only.
B. Prospective Client Inquiries and Meeting Information
Retention period: 24 months after the last meaningful interaction.
If you contact LineKeeper, submit an inquiry, or book a meeting as a prospective Client, we retain contact, meeting, and related sales-communication information for up to 24 months after the most recent meaningful interaction, unless you request deletion earlier or retention is reasonably necessary for legal, security, accounting, or dispute-resolution purposes.
C. Client Account, Contract, and Business Configuration Information
We retain client identity, service configuration, support, billing, contract, and business-rule information while the Client relationship is active and for up to 24 months after termination, unless a longer retention period is required for tax, accounting, legal, security, or dispute-resolution obligations.
D. Client Deployment Call Data
Default retention period: 90 days after each call, unless the Client’s written agreement specifies another retention period.
For live Client deployments, call recordings, transcripts, logs, structured outputs, summaries, and caller information retained through LineKeeper will be kept for 90 days after the relevant call by default. A Client may agree in writing to a shorter or longer retention schedule appropriate for its workflow and lawful requirements.
A Client may request deletion of its call data subject to contractual, technical, legal, security, and dispute-resolution limitations. Clients remain responsible for any copies they export, receive through notifications or integrations, or retain in their own systems.
E. Privacy, Consent, Security, and Opt-Out Records
We may retain records necessary to document privacy requests, recording consent choices, security events, disputes, compliance actions, communication opt-outs, or suppression requests for as long as reasonably necessary to demonstrate compliance, maintain security, or honour the relevant request.
F. Deletion and Backups
When retention expires, we will delete or deidentify relevant information under our control where reasonably feasible. Residual copies may persist temporarily in backups, logs, vendor systems, or disaster-recovery environments until overwritten or deleted according to applicable operational cycles, unless further retention is legally required.
8. Data Security
We use reasonable administrative and technical measures intended to protect personal information appropriate to the nature of the Services. These may include access controls, secure service-provider configurations, restricted access to call artifacts, and appropriate technical safeguards for hosted systems.
No website, voice system, cloud service, or internet transmission can be guaranteed to be completely secure. You should not provide sensitive or unnecessary personal information through the Public Demo.
For Client deployments, the Client is responsible for securing information it receives, exports, integrates into its systems, or uses outside LineKeeper.
9. International and Cross-Border Processing
LineKeeper by Aurcas is operated by a remote team that may include personnel located in Pakistan. The Services may also rely on technology providers and infrastructure located in the United States or other jurisdictions, including Vapi and configured voice/AI service providers.
Accordingly, personal information may be processed, accessed, transferred, or stored outside the state or country in which a user or caller is located. Privacy and government-access laws in those jurisdictions may differ from laws in your location.
By using the Public Demo or submitting information to us after receiving any applicable notice, you acknowledge that your information may be processed as described in this section, subject to applicable law.
Clients are responsible for confirming that their intended deployment and caller locations are appropriate for the cross-border processing involved in their configured service.
10. Children’s Privacy
The Services are intended for business users and adults and are not designed for children under 16. We do not knowingly seek to collect personal information from children under 16 through the Public Demo.
If you believe a child has provided personal information to LineKeeper through the Public Demo, please contact us at contact@aurcas.com so that we can review and take appropriate action.
Clients are responsible for ensuring that their deployments are used in a manner appropriate for their callers and lawful for their business.
11. Communications, SMS, and Marketing
Service and Inquiry Communications
If you contact us or become a Client, we may send communications necessary to answer your request, arrange meetings, configure the Service, provide support, or administer the client relationship.
Marketing Emails
Where we send marketing emails, recipients may opt out using the unsubscribe mechanism provided or by contacting contact@aurcas.com. Opting out of marketing does not prevent transactional or service communications relating to an active inquiry or client relationship.
SMS and Text Messaging
The Public Demo is not intended to enrol a user in text messages or marketing communications.
If SMS notifications or caller text messages are offered in a future Client deployment, they will be enabled only where configured for that Client. The Client is responsible for obtaining any required caller consent and honouring opt-out requests, and LineKeeper will update applicable disclosure language or service terms where needed.
12. Payment Information and Sensitive Information
Do not submit payment-card information, government identification numbers, medical information, account passwords, or other sensitive information through the Public Demo.
LineKeeper does not currently use the Public Demo to collect or process payments. Any future billing arrangement for Clients or payment-related workflow will be handled through separate agreed processes and, where applicable, third-party payment providers and additional safeguards.
13. Third-Party Sites and Services
The Site may link to third-party services, including Calendly for meeting booking. When you choose to use a third-party service, that service’s privacy terms apply to its independent collection and processing of information. We are not responsible for third-party privacy practices outside our control.
14. Your Privacy Rights and Requests
Depending on where you live and how LineKeeper processes your information, you may have rights to request:
- confirmation of whether we process your personal information;
- access to personal information we hold about you;
- correction of inaccurate personal information;
- deletion of personal information;
- a copy of certain information in a portable format;
- withdrawal of consent where processing is based on consent;
- non-discrimination for exercising applicable privacy rights;
- appeal or additional review of a request decision where required by law.

For personal information collected during a call to one of our Clients, you may contact the business you called. You may also contact us, and we will assist or refer the request to the appropriate Client as required.
We may need to verify your identity and the scope of your request before responding. Certain exceptions may apply where information must be retained for legal, security, contractual, or operational reasons.
15. Changes to This Privacy Policy
We may update this Privacy Policy as our Services, practices, or legal obligations change. We will post the updated version on the Site and update the “Last Updated” date. Where required by law, we will provide additional notice or obtain consent before a material change applies.
